Pamoja - Step-by-step Guide

Saving together. Growing together.
Full feature coverage - every screen
https://getpamoja.com
Pamoja runs any social group - njangi, tontine, susu, stokvel, chama, sports club, association, mutual-aid - as its own white-label tenant. Sign in with username (or phone) + PIN; new members join with an invite code. Use the search box to jump to any task, or the role chips to see only the steps that role uses. Every screen in the app is covered below.

Getting in & getting around click to collapse

STEP 1member/login

Sign in with your username (or phone) and PIN

New here? Tap "Join with an invite code", enter the code an officer gave you, then set your username, phone, and PIN. Forgot your PIN? Request a reset and an officer approves it.

STEP 2member/dashboard

Land on your Dashboard

Your home view: my dues balance, my next session, the group's pulse at a glance. This is where every member starts.

STEP 3memberany page

Use the top bar: back arrow, theme switch, language, and ?

Every page has a back arrow (top-left), a light/dark theme switch (remembered), a language selector (6 languages: English, French, Pidgin, Afrikaans, Swahili, Spanish), and a ? that replays the first-run walkthrough any time.

STEP 4member/profile

Open Profile to manage your own account

Update your display name and personal details, and change your PIN. Your own money is always visible to you here, even if finances are hidden from the wider roster.

STEP 5member/alerts

Check Alerts (the 🔔)

Every levy, occurrence, and announcement that touches you lands here: BSF occurrences, dues reminders, decisions to vote on, and session check-ins.

STEP 6member/activity

Open Activity for the group timeline

A running feed of what happened in the group: payments recorded, members added, meetings held, decisions carried.

Setting up the group click to collapse

STEP 7president/onboard

Run the Onboarding wizard to stand up a new group

A few questions build the whole circle in minutes. Pick the group type and region template (njangi, susu, stokvel, chama, club, association). For deeper first-time setup, open the hosted guide at /setup.html.

STEP 8president/groups

Configure Groups & sub-groups

Create and manage one or more groups, split large circles (36+) into sub-groups/batches, set the contribution schedule (weekly, bi-weekly, monthly), and choose the rotation rule. 30+ pre-built templates.

STEP 9president/settings

Open Settings for branding & permissions

Branding (admins): logo/crest, motto, display name, primary/accent colours - applied across the whole app for your tenant. Permissions: grant extra capabilities per person (view_finances, manage_dues, view_roster, post_announcements, manage_minutes, manage_events, select_squad, vetting, manage_members).

STEP 10president/bylaws

Publish the Bylaws

The group's rules and statutes in one place. Members accept them at join time; fines and penalties reference them so accountability is never an argument.

STEP 11president/import

Import existing data from Excel/CSV

Bring an existing roster or contribution history in from a spreadsheet so you start from where you already are, not from zero.

Members & roster click to collapse

STEP 12president/members

Manage Members: add, edit, invite

The roster with roles and titles. Officers (manage_members) add a member by name in seconds, edit role/title, activate/deactivate/remove, and Invite. The invite is officer-vouched: enter the phone you recognise as theirs; the code only works when they sign up with that exact number. Contacts show only to people with "See roster".

STEP 13committee/vetting

Vet a recruit in the Vetting committee

Vetting > Criteria defines what candidates must meet; Candidates are checked against them. When all criteria are met, a manager hits "Approve & invite" and the recruit joins as an active, dues-paying member. Committee chat lives in #vetting.

Money: dues, payments & funds click to collapse

STEP 14treasurer/dues

Build the yearly Dues from components

Components make up the yearly total (Registration, NVT/Tournament, Family Day, President's Cup, BSF...). Officers Add/Edit/Delete components in-app; the yearly total is shown. A member with an overdue, unpaid charge is auto-suspended until payment is recorded.

STEP 15treasurer/payments

Record a Payment against a member's charge

Choose the member, the charge, the method (Zelle/CashApp/PayPal/Venmo/Check/cash/mobile money) and the amount. Recording payment clears an auto-suspension.

STEP 16treasurer/funds

Run the Funds / BSF

The Bereavement Support Fund is an assessment. Hit "New occurrence" and every active member is levied; members with a prepaid balance are auto-deducted, the rest are notified to pay. Record a lump-sum deposit to a member's prepaid wallet so future occurrences draw it down automatically. Each occurrence posts to #bsf.

STEP 17treasurer/fines

Issue and clear Fines

Fines tied to the bylaws (lateness, absence, breaches) are issued and cleared here, then flow into the member's charges and the ledger.

STEP 18treasurer/treasury

Reconcile the Treasury

The group purse in one view: money in, money out, balance on hand. The Treasurer reconciles here against the ledger.

STEP 19treasurer/ledger

Open the Ledger (immutable, double-entry)

Every contribution, fine, levy, loan, and payout posts to one immutable double-entry ledger. Audit-ready and dispute-proof, the truth at the committee's fingertips.

STEP 20treasurer/loans

Manage Loans & credit

Internal lending from the sinking/mutual fund: a guarantor (or collateral), interest calculation, and repayment tracking to the franc. A guarantor who has not yet received njangi backs the loan.

STEP 21treasurer/emergency

Handle Emergency support

Fast-track relief disbursements for member hardship, recorded against the fund and the ledger like any other movement.

STEP 22treasurer/insurance

Open the Insurance dashboard

Track any group insurance scheme: cover, premiums, and claims for the membership.

STEP 23treasurer/player-fund

Run the Player Fund (sports clubs)

A dedicated purse for a sports club: match fees, kit, and travel for the squad, kept separate from the general dues.

STEP 24treasurer/reports

Generate Reports

Branded, printable financial and membership reports: download or print with the group logo, name, and motto on every page.

Meetings, events & sessions click to collapse

STEP 25secretary/meetings

Schedule a Meeting & record minutes

Schedule with an agenda. The Secretary records the minutes; the next meeting can adopt the previous minutes, the governance step that keeps the group legitimate.

STEP 26secretary/events

Post Events to the group calendar

The club calendar: practice, general assembly, match, social. A Team Captain (granted manage_events) posts Tuesday/Thursday training with location.

STEP 27member/calendar

See the Calendar

Everything that is scheduled - meetings, events, sessions - laid out by month so members can plan ahead.

STEP 28member/sessions

Use the Session hub on the day

Per session, set the hosting address (with Open-in-Maps), members check in (Coming / On my way / Running late / Arrived), arrange carpools (type any area), and the coach/captain marks attendance (✋). One tap builds a WhatsApp summary.

STEP 29secretary/host-rotation

Manage the Host rotation

Track whose turn it is to host the next session or meeting, with location details, so the rota is never in dispute.

Sports club: coaching & matches click to collapse

STEP 30coach/coach

Open the Coaching board

Coach/Manager (granted select_squad): curate the player pool (capable members plus recruited guests for competitions). Create a fixture, pick starters/subs/positions, record score/formation and per-player stats. The Stats tab is the career leaderboard.

Njangi rotation & group decisions click to collapse

STEP 31treasurer/rotation

Run the Njangi rotation

Each session, every group has one beneficiary who collects the pooled payout (group size x contribution). Officers tick the njangi / mutual fund / host fee per member, attach payment proof, and verify it. The sinking/mutual fund shows each member's balance; borrowing is from the fund with collateral or a guarantor who has not yet received njangi. Beneficiaries can change with the accord of the admin. Officers can hide money figures from ordinary members per kind.

STEP 32member/drives

Join a Savings Drive

Time-boxed collective savings campaigns toward a shared goal, with a live progress bar so everyone sees how close the group is.

STEP 33president/decisions

Put a Decision to the group

Raise a motion, capture the vote, and carry the change with the accord of the admin. The record stays attached to the decision.

Talking & the President AI click to collapse

STEP 34member/chat

Talk in Chat (replaces the WhatsApp group)

Channels: #general, #announcements (execs post), #players-forum, #executives, #bsf, #vetting. Officers create channels and manage who is in the locked ones. Realtime and themed to the group. On a phone, see the channel list, tap a channel for the conversation, and the back arrow returns to the list.

STEP 35president/president

Ask (and train) the President assistant

Members ask anything about the group (dues, training, events, how to join) and get instant answers. The assistant is named after your current President and updates when leadership changes. Officers build its knowledge base: load standard onboarding questions, add unlimited custom Q&A, or upload a document (PDF/text). Only confirmed answers are used; out-of-scope questions fall back to the AI.

Operator: the Platform console click to collapse

STEP 36operator/platform

Run the Platform console (Ta-Tech operator)

Super-admins only: every tenant at a glance, live totals, a per-tenant table, service turn-off, billing status, a System check (in-app self-test), and multi-admin management (grant other operators the exact powers you choose). The label is always "Platform", never "god".
